6. Approval Workflow

InformationThe Publisher’s job is to approve content submitted by creators in a specific folder. To access this feature, you need to contact the Help Desk (940-HELP) and request that you be assign a ‘Publisher’ role. 

Turning on session approval for a specific folder:

1. First navigate to your desired folder in Panopto then click on the ‘gear’ or ‘Settings’.

2. Scroll down and select the radio button labeled ‘When approved by a publisher’.

3. After that is applied in settings, go to the ‘Share’ tab within the folder and give your desired user Publisher access.

4. After a user is given the Publisher permissions then you may begin approving and rejecting content.

Request approval of sessions:

1. Navigate to your recently uploaded session.

2. Click on the ‘Settings’ button for that session. From there you can request the session to be approved.

Approving or rejecting sessions:

1. You want to first navigate to your recently uploaded session as the Publisher.

2. Click on settings.

3. To the right of the ‘Approval’ text you can choose whether to Cancel, Approve, or Reject the session.

4. From there all you have to do is click ‘Approve’ and the session will be approved. You can ‘Reject’ the session after you have approved it if it was deemed as a mistake.

5. After you click the ‘Reject’ button it will ask you to provide a reason for rejecting it. The Creator of the content will receive an e-mail about the rejection and the reason that the Publisher rejected it.

6. You can also reapprove it after you have rejected it.

 

2. Advanced Podcasts Features

If you have disabled podcasts on your site, you will not have access to this functionality.

Step 1

 

Locate the session that you would like to change podcast outputs for, hover over the session name and click “Settings”:

Now that we are on the overview page, click “Outputs”

 

Step 3.

On the outputs page, we want to scroll down to the “Video Podcast” section of this tab. Click the top drop down menu and select the desired output from the “Type” menu.

Before we begin the podcast type overview, it is important to note that there is a server setting, PodcastSlideDisplayIntervalSeconds: This setting controls how long a powerpoint slide can remain inactive until the view will revert back to the primary feed. The default setting for this is 60.

Please note you can also set the default podcast type globally on your system settings page using the “DefaultPodcastType” All new podcasts will be generated using this format.

1.) Mixed Video (On version 4.1, this has since been removed in 4.2)

This format will display the primary source first, and alternative between secondary sources when activity is detected. In other words, advancing a powerpoint slide will revert the view back to the slide. After the designated period of inactivity, the view will switch back to the primary feed until a change is detected on powerpoint.

2.) Primary Video Only

Formatting to this selection will only display the primary video source of your session. If this podcast mode is selected, the output will use the input resolution instead of the specified podcast resolution (as detailed in the next section in the “quality” information for the podcast.)

3.) Secondary Video Only

Formatting to this selection will only display the secondary video source of your session.

4.) Picture in Picture

This format will always display the primary video feed in the bottom right corner of the podcast, displaying the screen capture feed as the main view of this session. The primary view, unlike Mixed video, will not switch back and forth after 60 seconds of slide inactivity.

5.) Side by Side

Side by side plays a stream in the primary view of the podcast, with a separate feed in the top right of the view. Screen capture will take precedence over the primary video source as the main feed available. it is similar to the picture in picture view.

6.)Tile All Streams

The preferred podcast type for viewing on iOS devices. Tile All Streams does *not* show powerpoint slides. However, the view will accept and display up to three other secondary sources at once. This podcast feature adapts to the current amount of streams available. For instance, one feed will take up the entire window. Two video sources will split the view in half, with one stream on each side. Adding a third source will yet again split the view so that all three are spread evenly, and likewise, a fourth stream will completely fill the window.

Step 5.)

Click the bottom drop down menu and select the desired quality.

SD480pMedium: 720×480, Frame Rate: 30fps, Video Bit Rate: 500000 bit/s, Audio Bit rate 64000 bit/s

Please note that you can change the default podcast quality by using the System setting “DefaultPodcastPreset”

 

4. Composer Mode

Launching the Editor in Composer Mode allows for multiple video/presentations files to be compiled and uploaded to Panopto.

How to Launch the Editor in Composer Mode:

Click All Folders and choose the Folder where the session will be created

Click Create once you have selected your folder

In the dropdown menu after hitting Create, choose the Build a session option as shown below

Choose a name for your session and a description should you choose to add one, then click Create!

The editor will now in composer mode

To add a video file(s) as a primary source, drag them into this window (this will include any audio present in the file)

To add a video file(s) or PowerPoint (ppt/pptx only) as a secondary source, drag them into this window: (this will mute any audio present in the file)

Wait for everything to upload and then process

To add the above slides into the presentation, click on the slides tab – then expand the PowerPoint presentation

Hover the mouse over the slide and click Add

Click the location on the timeline where you wish to add the slide

Changes can be made to the slide or you can just click OK

The recently added slided should be present in the timeline. Repeat this process for all slides that you wish to add.

Click Save to save your progress.  The save time will appear next to the save option.

1. How to Batch Upload Files

There are two different ways to upload already existing video files:

Upload from the New Session page (only allows one video file to be uploaded at a time)

Launching the Editor in Composer Mode (allows for multiple video/presentations files to be uploaded)

How to Upload video files from the New Sessions page:

Click All Folders or My Folders on the left hand column and choose the Folder where the session will be created

Click the Create option on the top panel after choosing your folder

When you click create a dropdown menu of options will appears.  For uploading video you will choose the Upload video option as seen below

Under Actions – drag and drop in the video file or click Browse to select the file.

New to 4.5 – You can now drop multiple files into the video upload window at one time to create multiple sessions!

Wait for Uploading/Processing to finish (may take awhile based on the size and amount of files).

Once processed, the session can be edited right away. Once the publishing completes, you will be notified that it is safe to close the window and perform other tasks.

 

7. Converting files with Handbrake

InformationWhile there are many free utilities for converting video files we recommend Handbrake for compressing large files or re-encoding unsupported file formats.

Converting Video Files for Panopto Unison

Unison (the service that allows you to upload video files to Panopto as sessions) will only accept certain file formats for upload. If you have a file you want to upload via Unison that is not in a compatible format, you will need to convert it for use in Unison. This method makes use of HandBrake, a completely free, open-source transcoder that will run on Windows or Mac OS. There are numerous other converters that you may use if you wish; HandBrake is merely one solution that has proven to work.

  1. Download and install HandBrake.
  2. If you plan to encode more than one video at once, click Tools – Options – Output Files – select “Automatically name output files” – choose a path then click Close

    Click Source and choose either Open Folder (for more than one file) or Open File (for a single file). In this example, we will choose Open Folder.

    Select the folder containing your video files and click Select Folder (note: subfolders within this folder will not be recognized)

    Select High Profile

    If the source resolution matches the Display Size, skip the next step

    If it doesn’t match (like in the above example), change Anamorphic to None – set the Width & Height to match the source

    Click Add To Queue

    These steps need to be repeated on each file. To move on to the next file, click the dropdown next to Title and choose the next video file

    After all the video files have been properly configured and added to the queue, click start

    Then batch upload the new m4v files to Panopto. Click here for instructions on batch upload

3. Webpage Embedding into Panopto Recording

InformationWhile viewing a presentation in the Panopto VCMS, you can add a URL to your presentation that will open in a new tab during session playback. When the URL displays the session will pause to ensure the viewer is aware that a web page has been opened.

This feature will only work if the viewer has an active internet connection while viewing a presentation. It will not load/display when viewing the podcast version of the session.

Webpage Embedding into Panopto Recording

Step 1.) Locate the session you would like to embed a URL to, and click the “Edit” button. This will open the Panopto Editor

Step 2.) Method 1

There are two ways to add a URL to your presentation. First, we’ll cover how to edit an event that already exists in a stream such as Powerpoint slides and their transitions.

First, choose the event that occurs at the time you’d like your URL to display

Click on an event on the timeline, or click the “Edit” button on a related event.

On the left side, if you hover your mouse over a slide event, click the “Edit” button. We can also do this on “Streams” tab…

Conversely, on the right side of the screen, hover your mouse over the bottom highlighted timeline and click on “Click to Edit” where you would like to insert a URL.

Using either method will open the following screen:

Click in the field titled “URL” and enter the web address of the site you wish to embed in your presentation.

***It is very important that you add “https://” before the URL like the example above. If not, the link may not work while it is being viewed. The Panopto Cloud sites are enabled with Site-Wide SSL by default and therefore will not display a URL that also isn’t using SSL.***

Click “OK” when you are finished.

Step 2.) Method 2

Instead of editing an existing event, we can add a new event to connect to our URL.

On the bottom left, you can click on “Add a new event.”

 

On the right-hand side, in the upper timeline, you could also right click on the area you would like to add your URL. This will open the following menu:

Click on Create event.

Both methods will open the following window:

If you clicked the lower left “Add new event” button, you will need to modify the “Time” section to signal the URL to load.

Click OK when you are done.

Step 3.) Save your changes

When you’ve finished making your edits and are ready to save, click the Save or Save As button in the top right corner.

After you are finished saving, exit out of the editor.

Viewing your changes

If you open your session in the Panopto interface, you will see a new tab show in the bottom right of the viewer window which will be given the title of the event that you created. Your viewers may click the icon at any time during playback to open the URL in the viewer. The URL will also become active when the event occurs, and session playback will pause to ensure the viewer is aware that a web page has been opened.
