Glossary of Terms

Academic Plan
A student’s major.
Academic Program
The school or college to which a student belongs – typically, driven by the student’s major or Academic Plan.
Action
For advisors, an Action can be one of three things: Enroll (adding a class), Drop (dropping a class), or Normal Maintenance (changing a grade basis). The Action field on the Enrollment Request page defaults to Enroll when inserting a new row. Each action has a unique effect on the student’s Study List (schedule).
Advisor Center
Advisor Center, located under arrow Self Service, provides advisors with access to information about advisees and the ability to enroll students into classes, when necessary. See What is the Advisor Center?  for more information.
Career
On My.Butler search screens, the word “Career” applies only to students. A student’s career is either undergraduate (UGRD) or graduate (GRAD).
Catalog Nbr
Catalog Nbr is the number that follows the subject area when we commonly refer to a class like CH 105. 105 is the catalog nbr. Do not confuse the catalog nbr with the class number.
Class Nbr
The Class Nbr is a number that uniquely identifies each class in the database. Class nbrs are 4-digits and are printed in the left hand column of the Schedule of Classes. Do not confuse the class nbr with the catalog number.
Enrollment Request
Registering a student in classes or making changes to an existing schedule. An enrollment request can be one or more actions taken that affects a student’s registration — adding a class, dropping a class, or changing a grade basis. When you begin registering a student, you are beginning an enrollment request. One student can be associated with many enrollment requests. For example, when you initially enroll a student in all of his or her classes, that is one enrollment request. You may go back and drop a class in a new, second, enrollment request and so on.
Faculty Center
Faculty Center, located under arrow Self Service, is an area for faculty to get quick access to their rosters and advisee information. See What is Faculty Center? in the Faculty Center Help area for more information.
ID number
The ID is a 9-digit number assigned (arbitrarily by the software) to all students and employees at Butler. The 9-digit ID uniquely identifies each person in the database. The ID is on all Butler ID cards (leave off the last two numbers). It helps to have your advisees’ ID numbers handy for registration.
Institution
The Institution field appears on some search pages and will typically default to BUTLR (not a typo – the system allows for a 5-character code for the institution). While some queries require that you type in the institution code, you will not usually have to specify this code when using the system.
Logging In/Out
To login, start Internet Explorer by double-clicking the desktop icon. Type “my.butler.edu” (no quotes) in the address field near the top of the window and press Enter or click Go (i.e. go to the http://my.butler.edu web page). Do not type “www” — it’s not needed. Enter your username and password and click the Sign in button. To log out, click the Sign Out link and close the browser window.
Pagelet
A subdivision of My.Butler’s content display area that features or highlights a topic or task. Pagelets can be displayed, hidden or reordered on the tabs available to a user to customize how My.Butler looks.
Related Class
Related class usually refers to a lab. You generally cannot enroll a student in just the lab; you must choose the lecture first. After choosing the lecture, you use the Related 1 field to choose the lab.
Section
Section number is the third number we commonly associate to a class. Some courses — like EN102 — have many sections while others — like 400-level seminars — have only one section.
Study List
A study list is a student’s class schedule.
Subject Area
All subject areas in have a corresponding two- or three-character code. For example, CH is the two-character subject area code for chemistry. MDA is the three-character subject code for media arts.
Term code
Term code refers to the 4-digit code that represents a semester, summer session, or other academic time period. For example, the term code for Spring 2013 is represented by the code 4123. The naming scheme is: the 4 means 2000; the 12 means academic year 2012-2013, and the 3 means the spring semester (fall = 1, summer I = 6 and summer II = 7). Some examples of term codes are listed below.
Summer 1, 2013=4126
Summer 2, 2013=4127
Fall, 2013=4131
Spring, 2014=4133
